Every day several new web applications come in and you need to assign
them
to the Loan Officers as soon as possible. Then, you need to setup an
alert and write out a
detailed email for each one. This all takes a lot of time! Or, let
Email-it automatically send detailed emails to all the Loan Officers and
setup alerts for them in their loan files.
RESPA's need to be sent out today or they
will be late. You have 25 files to work on and there are too many
alerts to go through right now. You will get to them latter and hope you don't forget!
But now, you can use Email-it to automatically send email reminders to
yourself so you don't forget.
The loan was just approved and you need to let the
Borrowers, Broker, Branch Manager and Loan Officer know the status as soon as possible.
You could call everyone and hope they are available, or you could type
out and send each
one an email, when you have time! Why not let Email-it do
this for you automatically 24/7? You can even send a unique email
template to the broker and a the same time send another template to the
borrower with limited data.

Once Email-it is started it will continue to scan for
the trigger events and send all the emails and set alert automatically.
You will create a recipient list with all the
email addresses
available in a loan file. Each recipient is made up of the recipient
name and Encompass email field ID. Even custom email fields can be added to
this list.
You can also set up unlimited
email templates that are comprised of the email subject line and the body of
the email with merged Encompass fields. If an exchange server is used,
the body of the email can use all the available HTML formatting and all
outgoing mail will be saved in each of the "Sent Items" boxes.
The same template or a unique template can be sent to each recipient at
the same time.
You can set up unlimited
events. Each event is made up of an “Index Search“, “Advanced
Search”, “Email From/To” and Alert tabs. The Index Search
tab is where you will select the
loan folders. You can also, select a single milestone to limit the
search. The Advanced
Search tab is used to set the triggered events. Triggered events are
made up of Encompass fields and formulas. An example, would be a the
lock date is equal to today.
Formulas can use all the standard fields, milestones and document
tracking fields. Formulas can also use "IsDate" (checks to make sure the
date format is correct and is equal to the current date), "DateDiff" (days
between dates), "Today" (current date), "AND/OR" statements and more.
The email From/To tab allows you to enter an email address that
the email is coming from or if you are using an Exchange Server you can
enter the host name. You also select which recipients you want to send
emails to and
which template to use for each recipient. You can also setup an alert
for
up to three personas and set the number of days before the alerts are
due.
The Automation tab allows you to select which event or events to
send and how often to run them. The timer can be set to run once
a day, every few hours or minutes. When using the automation the Index
or Advance search are used to limit the emails that are being sent out.
The Quick Send tab is a manual process that allows you to search loan files by loan
number, first name or last name. The Index and Advanced searches that
are setup in the events are not used during this process. You can enter
the exact information or use wildcards to look for a range of loan
files. Once the list is displayed, you can
select which recipient or recipients you would like to send the emails to
and which event or events to send. You have the option to review the
events
before selecting them.
Once the events have been processed, a new general log event and save the
current date. If Email-it tries to send an event and there is a date in
General Log already, the emails for that event will not be sent again.
Email-it will maintain a list of events showing the time, day and date an
email has been sent. It will also display a list of the setting used,
email addresses and status. This log list can be accessed anytime using
the “view all logs” button. The log can
also be printed or deleted at any time.
